A clear route to organising services in Italy

Fiera Hostess helps companies based outside Italy prepare the local part of their project with a written brief, agreed responsibilities and one accountable Italian counterpart.

Designed for cross-border projects

What we clarify before you travel

The service is prepared around the venue, schedule, audience and operating requirements of your project in Italian exhibition venues.

  • Scope, dates, working hours and on-site responsibilities
  • Required languages and actual level to be verified during selection
  • Dress code, product briefing and escalation contact
  • Written quotation in euros, included services and optional items

Local delivery

Services available through Fiera Hostess

Each request is assessed against real availability and confirmed only through a written quotation.

Welcome hostesses and stewards

The stand’s front desk: greeting, qualifying, directing to sales.

The person who intercepts whoever comes in, works out in seconds whether they are a buyer, a curious visitor or a competitor, and points them to the right person. It’s the role that protects your salespeople’s time at peak hours and keeps the stand tidy all day.

  • Welcome in Italian and English, other languages on request
  • Qualifying against the priority list you give us
  • Guest-list, invitation and appointment management
  • Continuous coverage with rotated breaks

Promoters and demonstrators

Staff trained on the product, not just on courtesy.

Sales-minded profiles, briefed before opening on your catalogue and on the message you want to land. Useful when the product needs explaining, trying or demonstrating, and when you need to hold the visitor for more than thirty seconds.

  • Product briefing by video call or in person
  • Presentation script agreed with your marketing
  • Demos, hands-on trials, tastings and sampling
  • Daily report on recurring objections and questions

Interpreters and bilingual hostesses

Negotiations with foreign buyers, friction-free.

At international fairs the value is won at the table with foreign distributors and importers. We provide business interpreters and hostesses whose language level is checked at interview and who are prepared on your sector’s terminology.

  • English, French, Spanish, German, Portuguese, Russian, Chinese, Arabic
  • Negotiation interpreting at the stand and in meeting rooms
  • Language support at conferences and presentations
  • Translation of product sheets and floor materials

Lead collection and reporting

Contacts arrive in your CRM tidy, not on scattered sheets.

We train the staff to use your badge scanner or web app, with shared rules on what qualifies a contact. At day’s end you get the numbers; at the end of the fair the full, de-duplicated file, ready for sales.

  • Use of the exhibitor’s badge scanner or digital forms
  • Required fields and quality notes defined together
  • End-of-day report with counts and issues
  • Final delivery of the tidy database

Multi-fair coordination

One framework contract for every fair of the year.

For those who exhibit several times a season: all stops planned in advance, the same service spec everywhere, a single contact and reporting you can compare between one fair and the next. It’s the service that really cuts internal work.

  • Exhibition calendar planned at the start of the year
  • Identical service spec across every stop
  • A single contact and consolidated budget
  • Performance comparison between different fairs

Additional services and hospitality

Cloakroom, reserved area, material handout, side events.

The figures that round off a busy stand: keeping it tidy, handing out catalogues, staffing the client area and managing the guest list at the evening events linked to the fair.

  • Cloakroom and reserved guest area
  • Handout of catalogues, gadgets and press materials
  • Welcome at dinners and side events
  • Support for the stand’s catering service

Remote preparation

From the first brief to on-site delivery

Documents and briefing can be prepared remotely before the team or client arrives in Italy.

  1. 1 · Briefing and goals

A thirty-minute call per event: size, opening days, commercial goal, brand tone, languages. Out of it comes the real number of people you need.

  2. 2 · Written quote in 24 hours

A document with profiles, headcount, hours, daily cost per role and any extras. If there’s more than one event, the quote is cumulative and comparable stop by stop.

  3. 3 · Selection in the fair’s city

We draw on the local database. You get a shortlist of candidates with photo, experience, languages and availability: you choose, and if a profile doesn’t convince you we replace it before confirmation.

  4. 4 · Contracts and paperwork

Engagement, contracts, mandatory notifications, insurance and payments are on OPEN S.r.l. You get a single invoice per event.

  5. 5 · Product training

A briefing on your materials with the script you approve. For multi-fair clients the training material is reused and updated instead of being redone each time.

  6. 6 · Fair and continuous support

A team leader on site where planned, daily roll-call, immediate replacements and an agency contact reachable for the whole event.

  7. 7 · Report and close-out

Attendance statement, file of collected contacts and a short note on what worked. For multi-fair clients, a comparison with the stops already done.
