Why this service exists

One supplier for your whole exhibition calendar

For exhibitors the problem rarely changes from one fair to the next: you need presentable, punctual people who know what to say and who actually turn up on opening day. What changes every time is the supplier, and with it the level of service: the Verona team looks nothing like the Bari one, the quote isn’t comparable, the contact isn’t the same.

Fiera Hostess exists to close that gap. It is the showcase of OPEN S.r.l. — Stay Open, an events agency based in Rome and active nationwide, listed on the MePA marketplace. We recruit staff in the city of the event — so you don’t pay for travel you don’t need — but apply the same service spec everywhere: the same selection criteria, the same briefing, the same reporting model.

In practice, a company with six fairs a year manages a single framework contract, a single contact and a single invoice per stop, instead of starting from scratch six times. And it can compare performance between one fair and the next, because the numbers are gathered the same way.

Services

Six modular services, one point of contact

Take them one at a time or combine them. The quote stays single, fixed and with no surprise items.

Welcome hostesses and stewards

The stand’s front desk: greeting, qualifying, directing to sales.

The person who intercepts whoever comes in, works out in seconds whether they are a buyer, a curious visitor or a competitor, and points them to the right person. It’s the role that protects your salespeople’s time at peak hours and keeps the stand tidy all day.

  • Welcome in Italian and English, other languages on request
  • Qualifying against the priority list you give us
  • Guest-list, invitation and appointment management
  • Continuous coverage with rotated breaks

Promoters and demonstrators

Staff trained on the product, not just on courtesy.

Sales-minded profiles, briefed before opening on your catalogue and on the message you want to land. Useful when the product needs explaining, trying or demonstrating, and when you need to hold the visitor for more than thirty seconds.

  • Product briefing by video call or in person
  • Presentation script agreed with your marketing
  • Demos, hands-on trials, tastings and sampling
  • Daily report on recurring objections and questions

Interpreters and bilingual hostesses

Negotiations with foreign buyers, friction-free.

At international fairs the value is won at the table with foreign distributors and importers. We provide business interpreters and hostesses whose language level is checked at interview and who are prepared on your sector’s terminology.

  • English, French, Spanish, German, Portuguese, Russian, Chinese, Arabic
  • Negotiation interpreting at the stand and in meeting rooms
  • Language support at conferences and presentations
  • Translation of product sheets and floor materials

Profiles

The people you can have on the stand

Each profile has a precise role on the stand. We propose a shortlist of candidates: you choose, and if one doesn’t convince you we replace it before confirmation.

Welcome hostess
Polished presence, flow management

Welcome hostess

The most-requested profile: welcomes, qualifies and directs. Holds the same tone from the first hour to the last and spots at a glance who should be walked to a salesperson.

  • Fluent Italian and English
  • Documented fair experience
  • Guest-list handling
  • Polished presence
Stand steward
Order, presence, felt security

Stand steward

For large stands or delicate displays: keeps paths clear, protects the build and steps in gracefully when crowd pressure rises.

  • Flow and queue management
  • Care of the build
  • Assistance for visitors with disabilities
  • Long shifts on your feet
Promoter / demonstrator
Stops the visitor and explains why

Promoter / demonstrator

Sales aptitude and product recall. Studies the sheets before opening and gives back a story consistent with the brand’s positioning, not improvised.

  • Sales aptitude
  • Product recall
  • Stand public speaking
  • Objection handling

Sectors

Exhibitors we work with

Each product category has different stand dynamics: the visitor changes, the right profile changes.

Engineering, subcontracting and industry

A technical audience and long days. You need profiles that recognise the qualified visitor and don’t waste your engineers’ time on the stand.

Food, drink and beverage

Tastings, sampling and hygiene rules. Staff must handle samples and queues while keeping the area spotless all day.

Furniture, design and construction

Large stands, visitor journeys, materials to touch. What counts is protecting the build and being able to talk about finishes and specifications.

Fashion, jewellery and accessories

Buyers by appointment and temporary showrooms: appointment management, confidentiality and image care are the heart of the service.

Health, pharma and congresses

A regulated setting: accreditations, attendee registration, room management and strict adherence to timing and procedures.

Tourism, services and public sector

Regional collectives and institutional pavilions hosting several companies: it takes coordination between different parties under one roof.

Method

From the first message to the end-of-fair report

A tracked path with clear deadlines. You always know where we are and what’s needed from you.

  1. 1 · Briefing and goals

A thirty-minute call per event: size, opening days, commercial goal, brand tone, languages. Out of it comes the real number of people you need.

  2. 2 · Written quote in 24 hours

A document with profiles, headcount, hours, daily cost per role and any extras. If there’s more than one event, the quote is cumulative and comparable stop by stop.

  3. 3 · Selection in the fair’s city

We draw on the local database. You get a shortlist of candidates with photo, experience, languages and availability: you choose, and if a profile doesn’t convince you we replace it before confirmation.

  4. 4 · Contracts and paperwork

Engagement, contracts, mandatory notifications, insurance and payments are on OPEN S.r.l. You get a single invoice per event.

  5. 5 · Product training

A briefing on your materials with the script you approve. For multi-fair clients the training material is reused and updated instead of being redone each time.

  6. 6 · Fair and continuous support

A team leader on site where planned, daily roll-call, immediate replacements and an agency contact reachable for the whole event.

  7. 7 · Report and close-out

Attendance statement, file of collected contacts and a short note on what worked. For multi-fair clients, a comparison with the stops already done.

Comparison

National supplier, local agency or direct hire?

There are three ways to staff a stand, and the choice changes a lot if you exhibit once a year or six times. This comparison lines up the criteria that really matter when the space is already paid for and the opening is ten days away.

Continuity between different fairs

Fiera Hostess

The same spec, the same contact and the same reporting in every city.

Alternative

A different supplier per fair, with service levels that don’t compare.

It’s the main difference for those who exhibit several times a year.

Travel costs

Fiera Hostess

Staff recruited in the fair’s city: no travel to pay for.

Alternative

Often teams brought in from elsewhere, with board, lodging and travel on the invoice.

On large teams it weighs more than the hourly fee.

Paperwork and contracts

Fiera Hostess

Contracts, notifications, insurance and payments handled by the agency.

Alternative

On the exhibiting company, which becomes the employer of each individual.

This is where a “cheap” engagement becomes expensive.

Cover in case of absence

Fiera Hostess

Guaranteed replacement, with reserves identified during selection.

Alternative

A last-minute search on you, mid-fair.

A gap at the entrance on buyers’ day costs more than a day’s fee.

Product training

Fiera Hostess

Advance briefing on your materials, reusable on later stops.

Alternative

An improvised introduction on the morning of opening.

It determines the quality of what the visitor hears.

Administration

Fiera Hostess

A framework contract, one invoice per event, order references.

Alternative

Separate receipts or notes per person, multiplied by every fair.

Relevant for accounting and internal purchase orders.

Apparent cost

Fiera Hostess

Higher in the quote, fixed and with no hidden items.

Alternative

Lower at first sight, with indirect costs on your time.

An honest comparison is made at equal risk taken on.

If you exhibit only once a year with a small stand and already have trusted people in the city, direct hire may be enough. If there’s more than one event, or if the stand is large with declared commercial goals, the single supplier reduces both the risk and the internal admin.

Who provides hostesses for trade fairs in Italy?

OPEN S.r.l. (trading as Stay Open), an events agency based in Rome and listed on MePA, provides through fierahostess.it hostesses, stewards, promoters and interpreters to exhibiting companies at all the main Italian exhibition venues: Milano Rho and City, Fiera Roma, BolognaFiere, Veronafiere, Rimini, Vicenza, Padua, Bari, Turin, Florence and Naples. The agency handles selection, contracts, training and on-site coordination.

How much does a hostess for a trade fair cost?

The cost depends on the profile, the number of days, the daily hours, the languages required and the city of the event. A standard 8-hour day for a bilingual welcome hostess sits in the mid-range of the Italian trade-fair market; business interpreters and team leaders cost more. OPEN S.r.l. issues a written, fixed quote within 24 working hours, inclusive of contracts, paperwork and insurance cover.

Which cities and venues do you operate in?

Nationwide, with a presence at the main hubs: Fiera Milano Rho and Allianz MiCo, Fiera Roma, BolognaFiere, Veronafiere, the Rimini and Vicenza venues, Fiera di Padova, Fiera del Levante in Bari, Lingotto Fiere in Turin, Fortezza da Basso in Florence and Mostra d’Oltremare in Naples. Staff are selected in the city of the event to avoid travel costs.

How far in advance should stand staff be booked?

The recommended window is three to six weeks before opening; for the largest events it’s worth moving two months ahead, because the best profiles are optioned early. Requests with 48–72 hours’ notice are still assessed, subject to availability in the city concerned.

Is the staff hired by the exhibiting company?

No. The staff are contracted by OPEN S.r.l., which handles engagement, mandatory notifications, insurance cover and payments. The exhibiting company receives a single invoice and does not become the direct employer of the individual workers.

How many hostesses does a stand need?

As a rule of thumb: one welcome figure per 40–60 m² of stand open to the public, plus one promoter for each product area and a team leader from four people up. Trade days need fewer staff but more qualified profiles; public days need more coverage.

What they say

Exhibitors who have already worked with our team

Five fairs in one year, one contact and quotes that finally compare with each other. We stopped running the same search five times.

Trade fair manager

Engineering company, Emilia-Romagna

In Bari we needed two people in 48 hours. They found them in the city, briefed them on the product and had them there on time on day one.

Export manager

Food producer

What convinced us was the final report: attendance, collected contacts and a note on what to change next year. No one had ever done that before.

FAQ

Exhibitors’ frequently asked questions

Do you provide staff for a single day too?

Yes. Many exhibitors reinforce the team only on the busiest days or the trade days. A single day is possible; below four hours a half-day minimum applies.

How does it work for those who exhibit at several fairs a year?

A framework contract is set up with agreed rates and a calendar planned at the start of the season. Each event is then confirmed with a specific order and invoiced separately, keeping the same contact and the same service spec.

Are uniforms included?

The basic dress code — dark suit, tailleur, total black or smart casual as agreed — is included. Branded uniforms or specific styling are supplied by the company or produced by us with a dedicated quote.

What happens if someone doesn’t show up?

The replacement is guaranteed and on us. During selection we always identify reserve profiles in the same city, reachable for the duration of the event.

Does the staff already have fair experience?

Unless you explicitly ask for junior profiles at a reduced rate, we propose people with documented fair experience: for each we list the events and sectors already covered.
